By using SSP Telecom’s services or by providing us with personal information, you authorize us and our trusted third parties and service providers to collect, use and manage your personal information for the purposes set forth herein and in accordance with this policy.

If you do not consent to SSP Telecom’s collection, use and disclosure of your personal information in accordance with this policy, please do not provide us with any personal information. Of course, certain services can only be provided to you if you provide SSP Telecom with such information; therefore, SSP Telecom may not be able to provide you with those services if you choose not to provide SSP Telecom with the personal information necessary to perform those services.

We reserve the right to change this policy at any time. Please refer to the “Last Updated” section at the top of this page for the date we last revised this policy. Any changes to this policy will be effective as of the “Last Updated” date above. By using SSP Telecom’s services or entrusting us with personal information following changes to this Privacy Policy, you agree to those changes and acknowledge that you are subject to them.

Personal information we collect

We may collect and process various types of personal information in the course of our Business and service delivery, including:

  • Your contact information: your name, home address, email, phone numbers;
  • Information related to billing and our services: billing and shipping address, payment information, billing and order history, instructions;
  • Information related to recruitment: your resume, education and employment history, RAMQ number, citizenship, immigration status and document, if applicable, information regarding professional affiliations and other information relevant to potential recruitment by SSP Telecom;
  • Information related to your preferences: Your comments in relation to our services, your responses to our surveys and other such information;
  • Evidence of your consent for a specific purpose, if required, in circumstances where such consent is necessary for the processing of Personal Information;
  • Information relating to a third party: their name and contact information, if required. If you submit personal information about a third party to us, you represent that you have obtained that person’s consent to SSP Telecom’s use and disclosure of personal information as set out in this Privacy Policy.

SSP Telecom does not target individuals under the age of eighteen (18) with its services. Accordingly, it does not knowingly collect information from children or anyone else under the age of 18. If we discover that we have collected personal information from minors, we will take steps to securely and safely delete that information from our servers.

Collection purposes

We may process personal information for the purposes identified at the time the information is collected or as permitted or required by applicable law, including for the following purposes:

  • Respond to your requests and meet your expectations when communicating with you;
  • Process and finalize your order, including order confirmation, billing and shipping information, payment processing, product delivery and communication with you regarding your order;
  • Send you important information about SSP Telecom’s services, changes to our terms, conditions and policies, and other administrative information;
  • To notify you about our products, services, contests, sweepstakes and other promotions by email, postal mail, telephone or other means;
  • To administer and run our contests, sweepstakes and other promotions in accordance with any additional rules or policies that may contain different or additional information about how we use and disclose your personal information;

  • and if we believe it is necessary or appropriate: (a) under applicable law, including laws outside your country of residence, if your Personal Information is stored there; (b) to comply with legal process; (c) to respond to requests from public and governmental authorities, including public and governmental authorities located outside your country of residence if your Personal Information is stored there; (d) to enforce our terms and conditions and this Privacy Policy; (e) to protect our Business; (f) to protect our rights, privacy, safety or property, or those of you, our company or others; (g) to allow us to pursue available remedies or limit the damages that we may sustain.

We collect Personal Information from you and through our interactions with you as follows: (a) in the course of providing services to you (b) when you register for our training, newsletters, contests, sweepstakes and other promotions, and (c) when you visit us at trade shows, conferences, or other events.

If we need to collect personal information about you from a third party, we will obtain your consent before doing so, unless the law permits us to do so without your consent.
We are committed to limiting the amount of personal information we collect to that which is necessary and appropriate to fulfill the purposes set out in our privacy policy. We will not share or use your personal information for purposes other than those for which it was collected, except with your prior consent or as permitted or required by applicable law.

Your rights of access and rectification

You have the right to access and be informed about the personal data we hold about you. If the information we hold about you is inaccurate, incomplete or out of date, you have the right to have it rectified or completed. We will respond to your request for access or rectification within thirty (30) days of receiving your request. Please note that we may ask you for documents or identification to confirm your identity before responding to your request.

There may be circumstances where we are unable to provide you with access to your Personal Information, such as where our records contain cross-references to other individuals or where your Personal Information cannot be disclosed for legal or security reasons.
Please be advised that there are only two (2) situations in which you may ask us to delete personal information that we hold about you: (a) if the information is out of date, inaccurate or misleading, and (b) if its collection, disclosure or retention is not permitted by applicable law.
You can help us maintain the accuracy of your personal information by notifying us of any changes to it.

Disclosure of personal information

We may disclose your personal information to third parties in the following circumstances:

  • To service providers, with whom we have established contractual obligations regarding the security and confidentiality of your personal information, who provide us with website services, application development, hosting, maintenance and other services, such as website hosting, data storage, data analysis, payment processing, order fulfillment, computer and infrastructure services, customer service, email delivery and administration, auditing services and other similar services We limit the information we provide to these service providers to that which is reasonably necessary for them to perform their functions. In addition, our service providers are not permitted to disclose your information to others;
  • To government authorities and law enforcement agencies, such as the Access to Information Commission or the Office of the Privacy Commissioner of Canada, where required by applicable law. Specifically, we may disclose Personal Information and other information if we are required to do so by law or if we believe in good faith that such disclosure is necessary to comply with applicable laws, in response to a court order or a request for cooperation.

Please be aware that we may disclose your personal information, without your consent, in the following circumstances:

  • To our lawyers;
  • To a third party if the information is necessary to collect a debt owed to us by you;
  • If we are engaged in a commercial transaction, i.e., one that involves a transfer of ownership of all or part of our business and the disclosure is necessary for the completion of that transaction and a confidentiality agreement has been entered into between the parties as required by law

Finally, SSP Telecom does not sell or trade personal information in its possession for payment.

Your right to withdraw your consent to the use or disclosure

At any time, you may withdraw or change your consent to our use or disclosure of your personal information or refuse to participate in certain uses and disclosures we make to you, subject to applicable legal and contractual restrictions. If you wish to withdraw or change your consent, we invite you to contact our Privacy Officer.

When it comes to sending marketing messages, we give you a lot of choices about how we use and disclose your personal information. You may choose not to:

  • Receive marketing messages from us: If you no longer wish to receive promotional emails (such as information about new products, promotional offers and events) from us, you may unsubscribe by clicking on the “Unsubscribe” link in any promotional email;

When you contact us for this purpose, please provide us with your full name and the email and/or postal address you used when you registered or purchased.

Please also note that if you opt out of receiving promotional messages from us, we may still send you important administrative messages and you cannot opt out of these administrative messages. For example, when you place an order, we will continue to confirm your order and shipment status via email. We may also need to contact you by phone, email or mail regarding information or questions about your order or any other request you have made.

Disclosure of your personal information outside Quebec

We store your personal information in Canada. However, in the course of our business, some personal and business information may be stored on systems located in the United States. We may store and process personal information under our control in any country in which we engage third party service providers (either elsewhere in Canada or the United States). By using SSP Telecom’s services, you agree that your personal information may be transferred outside of your country of residence, and that privacy rules may be different in the country to which it is transferred. Your personal information will be subject to the laws of the country to which it is transferred and may be disclosed to governmental, judicial or regulatory authorities in that country in accordance with its laws. However, SSP Telecom has agreements with these service providers to ensure the protection and security of your personal information.

SSP Telecom personnel who have access to your personal information

We have taken steps to ensure that the only SSP Telecom personnel who have access to your personal information are those who have a need to know, who require access to perform their duties and responsibilities, or whose duties reasonably require access to such information. We ensure that they are subject to a duty of confidentiality. If you would like to know who has access to your personal information within SSP Telecom, please contact our Privacy Officer.

Security in place to protect personal information

We implement all necessary security measures to protect the personal information we hold.

You should also be aware that we may use third-party cloud service providers that offer hosting, data storage and other services in accordance with terms and conditions to which we adhere. These service providers represent that they have adequate security measures in place to protect the information on their systems.

Please use caution when giving us personal information over the Internet or when accessing SSP Telecom’s online services using a Wi-Fi or public network.

We also have a structured security incident response plan and maintain a log for this purpose. Only government authorities and law enforcement agencies, such as the Access to Information Commission or the Office of the Privacy Commissioner of Canada, may have access upon request, in accordance with applicable laws. Please be aware that if a security incident occurs that poses a risk of serious harm to your privacy, we have an obligation to inform you promptly and to notify the Access to Information Commission.

How long we keep and destroy your personal information

We will retain Personal Information only as long as necessary for the purposes set out in this Policy. We have implemented secure methods of destruction of your Personal Information so that reconstitution is not reasonably foreseeable under the circumstances.

Complaint Handling Process

If you wish to communicate to us any dissatisfaction with our handling of your personal information or if you have a complaint regarding any failure by SSP Telecom to comply with this Policy or applicable laws, we invite you to contact our Privacy Officer.

Within sixty (60) days of receiving your complaint, we will review the complaint, conduct an internal investigation and take appropriate action, if necessary, including changing our internal practices. We will notify you within ninety (90) days of receiving your complaint of our decision and any action taken, if any.
